Position: personal assistant to CEO and finance vice-president.
Main responsibilities: Scheduling, information search, travel support and corresponding documentation, arranging internal and external meetings, making presentations, writing official letters, maintained regular contacts with Russian and foreign companies and state authorities, translation of business documentation, official letters, contracts, organization of CEO participations to foreign worldwide conferences and summits, following up and control the fulfillment of assignments of the Heads, organization of PR presentations, expense reports, analytical reports, contact with mass-media, contact with all departments of the company, issuing of documents, expense reports, obtaining financial docs.

PA to the Head of Moscow Representative Office
Efficiently provided full range of administrative and secretarial support to the General Director and the whole company combined with travel coordination services.
Business schedule planning, assisting to the General Director in his daily activities, searching all kind of information to the Head, organization of business trips for the Head, arranging internal and external meetings and other business and social events for entertaining. Maintained regular contacts with the other companies and organizations. Provision of documentation on Management and Work-in-Progress meetings, taking notes and making minutes. Delivered interpreter’s duties and written translations, efficiently handled phone messages and business correspondence, elaborated office filling systems, maintaining office files (contract documentation) in due order. Control on-going informational exchange between Teams in the office, acted as a point of contact for the Team members during their business trips. Arranging subscription to the worldwide Russian and Foreign issues, organization of and participation to the Russian and Foreign conferences and summits. Making finance reports, provision travel coordination services: visa support, registration process for foreigners, tickets’ purchase, hotel reservations, car rental, transportation issues and etc. Fulfillment office management duties: ordering office supplies and stationary, working with express post services (UPS, TNT, DHL and etc), drivers and couriers’ work control.
